Grounded in partnerships with more than 20 leading health systems, deep EMR integrations, dedicated medical group, and experience serving a population of more than 100,000 patients, the system learns from real-world care delivery, improving as it scales. Cadence has been recognized by TIME as one of the Top 100 HealthTech Companies and by LinkedIn as a Top Startup (#4, 2025).
The Role
We’re hiring a Payroll Specialist to own accurate, on-time US payroll across multiple pay groups for Cadence’s fully remote, multi-state workforce. Reporting to the Senior Payroll Manager, you will work with Finance, Benefits, and People so the clinicians and care teams who extend primary care into patients’ homes are paid correctly every cycle. The role combines hands-on processing, audits, tax compliance, and employee service, with a growing emphasis on documentation, controls, and workflow optimization as Cadence scales.
What You’ll Do
- Own end-to-end processing of multiple US pay groups across biweekly and semimonthly cycles, completing previews, audits, approvals, and funding steps within established deadlines
- Validate new hires, terminations, compensation changes, retroactive pay, bonuses, commissions, and off-cycle or final payments against approved source records, resolving or escalating exceptions before submission
- Audit timekeeping data, PTO and leave accruals, garnishments, and other court-ordered deductions for accuracy, partnering with managers, People, and Benefits to resolve discrepancies
- Manage multi-state payroll tax compliance, including jurisdiction registrations, rate updates, agency notices, and quarter-end and year-end activities such as W-2 preparation and W-2c corrections
- Reconcile payroll to the general ledger, benefit carrier invoices, and 401(k) funding with Finance and Benefits, and maintain the audit trails and internal controls that support financial, 401(k), and workers’ compensation audits
- Serve as the point of contact for employee payroll questions, researching earnings, deductions, and taxes and documenting resolutions with accuracy and discretion
- Improve payroll reporting, procedures, and system testing, applying AI tools such as Claude and ChatGPT to streamline recurring workflows as the payroll function scales
What You Need
- At least five years of hands-on US payroll processing experience, including multi-state payroll
- Experience processing multiple pay groups and pay frequencies, including biweekly and semimonthly cycles
- Working knowledge of federal and multi-state wage and hour, payroll tax, and pay practice requirements, including FLSA, overtime, and final pay
- Demonstrated ability to investigate discrepancies, reconcile records, and document resolutions while meeting firm payroll deadlines
- Experience handling confidential compensation and employee information with discretion
- Ability to work independently in a fully remote environment and communicate clearly, in writing and verbally, with employees, managers, and cross-functional partners
- Fluency with AI productivity tools (such as Gemini, Notion AI, or comparable platforms) and comfort applying them to structured workflows, reporting, and process documentation
Compensation
The anticipated pay range for this role is $80,000 - $100,000 annualized, depending on experience, skills, seniority, and business needs. Depending on role classification, pay may be structured as an annual salary or as an hourly rate with an equivalent annualized value. This position is remote and based in the United States.
