Purpose of the Role:

Reporting jointly to the Director, Innovation Enablement and the Executive Director, Philanthropy, the Operations Coordinator provides shared operational, administrative and reporting support across both teams. The role enables consistent execution of recurring priorities, effective coordination across stakeholders, and timely follow-through on meetings, reporting, communications and key deliverables, allowing both leaders to maintain focus on strategy, relationships and program oversight.

Working across two distinct areas of the business, the Operations Coordinator contributes to innovation governance, intake and project reporting, as well as charitable giving, community partnerships and staff engagement. Success in the role requires strong organization, sound judgment, adaptability and dependable follow-through while balancing the evolving priorities of both teams.

Core Responsibilities:

  • Provide shared operational, administrative and coordination support across Innovation Enablement, Philanthropy and the Nicola Wealth Private Giving Foundation (PGF), ensuring consistent execution of priorities, effective stakeholder coordination, and timely follow-through on key initiatives, meetings, reporting and communications.
  • Schedule meetings for both teams, draft agendas, provide facilitation support, and capture minutes, decisions and action items.
  • Track follow-ups and deadlines through to completion, flagging items to the appropriate leader when they are at risk of slipping.
  • Prepare, format and quality-check documents, presentations and background materials for internal and external audiences.
  • Maintain shared files, records, contact lists and trackers so information stays current, organized and easy for both teams to find.

Innovation Enablement

  • Support Innovation Enablement intake governance and reporting, including Innovation Access Forum (IAF) tracking, executive reporting, and consolidated reporting across active projects.
  • Coordinate operational activities within the Innovation Access Forum, including bi-weekly meetings, bringing stakeholders together to support intake and prioritization, and confirming that all required information has been provided.
  • Support communications and insights, including the monthly newsletter, data analytics and KPI reporting.

Philanthropy

  •  Coordinate charity-related administration, including maintaining contact lists, tracking outreach and follow-ups, preparing background materials, organizing due diligence information, and keeping files and records current and easy to access.
  • Provide operational and administrative coordination support across the Philanthropy and Nicola Wealth Private Giving Foundation (PGF) teams, including meeting and communications coordination, action tracking, document preparation, information management, and stakeholder engagement support.
  • Coordinate philanthropy initiatives, including corporate giving activities, staff giving and volunteering programs, committee administration such as the Nicola Wealth Gives Back (NWGB) committee, communications, and stakeholder engagement.
  • Support philanthropy reporting, communications and content management, including coordinating inputs for impact reporting, maintaining internal resources and Exchange content, and partnering with Internal Communications to share updates with staff.

Required Skills & Qualifications:

  • Two or more years of coordination, administrative or operations support experience; experience in financial services, professional services or the not-for-profit sector is an asset.
  • Post-secondary education in business administration, communications or a related discipline, or equivalent practical experience.
  • Demonstrated ability to manage competing priorities for more than one leader or team.
  • Strong written and verbal communication skills, including agenda, minute and update writing.
  • Highly proficient with word processing, spreadsheet and presentation software, and comfortable working in Microsoft 365, including SharePoint and Teams.
  • Experience maintaining trackers, dashboards or reporting, and comfort working with data to support KPI reporting.
  • Experience coordinating meetings, committees or events, including logistics and materials preparation.
  • Interest in philanthropy, community engagement or charitable giving is an asset.
  • Exposure to project coordination, governance or process improvement is an asset.
