Responsibilities

The Payroll Specialist supports end-to-end payroll processing for approximately 1,400 employees across three legal entities, two EINs, and most U.S. states, using PeopleSoft. This role is detail-oriented and deadline-driven; the person who thrives here thinks systematically, takes ownership of accuracy, communicates clearly with HR and operations partners, and treats all compensation data with strict professional discretion.

Previous payroll experience is preferred but not required. Hamilton actively considers candidates with demonstrated capability in high-attention work who bring the right combination of accuracy, judgment, systems aptitude, and communication skills.

Employee and Operational Support

  • Serve as first-response contact for employee pay and absence questions through the shared payroll inbox; provide accurate, professional, and timely replies and escalate complex or unresolved issues to the Payroll Supervisor.
  • Partner with HR to verify data changes (onboarding, terminations, job changes, and leave of absence events) and confirm that approved updates are reflected accurately in PeopleSoft before each cycle closes.

Data Integrity and Systems

  • Navigate PeopleSoft to enter, verify, and audit payroll data; identify and clearly document data or system discrepancies and escalate to the Payroll Supervisor for resolution.
  • Follow and maintain written procedures for assigned processes.

Cross-functional Coordination

  • Assist with quarterly and year-end tasks as directed by the Payroll Supervisor.

  • Demonstrated ability to work accurately with numbers, data records, or financial information. Prior payroll experience is preferred but is not required.
  • Clear and professional written and verbal communication skills, including the ability to respond to employee inquiries with accuracy and discretion.
  • Strong attention to detail: consistent track record of catching errors, checking own work, and maintaining accuracy in volume and deadline-driven environments.
  • Sound judgment in handling sensitive and confidential information; treats compensation data with strict professional discretion.
  • Demonstrated aptitude for learning and navigating enterprise software systems.
  • Proficiency with Microsoft Excel sufficient to verify and audit payroll data (sorting, filtering, basic formulas, and pivot tables required).
